Imarticus School of Finance & Business ("ISFB", "the School", "we", "us"), a school of Imarticus Learning Private Limited ("Imarticus Learning"), respects the privacy of its applicants, students, parents, alumni, faculty, visitors and website users ("you", "your"), and is committed to protecting any personal information you share with us. This Privacy Policy ("Privacy Policy") describes how we collect, use, store, share and protect information about you.

This Privacy Policy applies to your use of the ISFB website and portals, your application to and enrolment in any ISFB programme, your use of the Learning Management System ("LMS") and campus systems, and any interaction with us at any time by email, telephone, WhatsApp, in person on campus, or by any other means.

ISFB has taken every effort to ensure your information is secure. This Privacy Policy covers what information is collected, how it is used, and what you can do about it. It also describes your choices regarding the use, access and correction of your personal information. The use of information collected through our services is limited to the purposes of admissions, academic delivery, student welfare, certification, career services, and compliance with law.

In the event of a sale, merger, reorganisation or transfer of all or a portion of the business or assets of Imarticus Learning or ISFB, personal information may be one of the assets transferred as part of that transaction, subject to the transferee being bound by protections no less protective than this Privacy Policy.

If you do not agree with this Privacy Policy, please do not provide any personally identifiable information to us. If you refuse or withdraw your consent, or if you choose not to provide us with information we require, we may not be able to process your application or provide you with the academic, welfare, certification or placement services associated with your programme.

Use of Your Personal Information and Other Data

Purpose

We collect personal information as part of the operation of our website, our admissions process, and the delivery of our academic programmes and student services. Specifically, we use personal information to:

• process and evaluate applications for admission, conduct interviews and assessments, verify eligibility and academic credentials, and communicate admission decisions;
• administer fees, instalments, invoices, scholarships and refunds;
• deliver the programme, including classes, assessments, examinations, projects, immersions, industry sessions and co-curricular activities, and to maintain academic records, attendance and transcripts;
• support student welfare, safety and pastoral care, including emergency response, and to communicate with parents or guardians where appropriate;
• register students with academic partners, examination bodies and professional certification bodies, and to issue certificates and credentials;
• provide career preparation and placement services, and to share candidate profiles with prospective recruiters;
• maintain campus security and manage access to premises and IT systems;
• improve our programmes, website and services, and to understand our applicant and student communities in aggregate;
• send you programme, event and School communications you have consented to receive; and
• comply with legal, regulatory, audit, accreditation and statutory reporting obligations.

Legal Basis for Collecting Personal Information

We process personal information on one or more of the following bases:

• you have given consent to the processing of your personal data for one or more specified purposes;
• processing is necessary for the performance of a contract to which you are a party — including your offer of admission and enrolment — or in order to take steps at your request prior to entering into that contract;
• processing is necessary for compliance with a legal or regulatory obligation to which we are subject; and
• processing is necessary to protect the vital interests of a student or any other individual, for example in a medical emergency.

Where the applicable law requires consent, we obtain it at the point of collection, and you may withdraw it at any time as described under "Your Rights" below. Withdrawal of consent does not affect processing carried out before the withdrawal, and does not extend to information we are required to retain by law.

We use your personal information solely to provide our services to you efficiently and in a seamless manner. We also use personally identifiable information together with non-personally identifiable information to better understand our applicants and students and to enhance the content and functionality of our website and learning platforms.

You have control over the privacy of your information. Your information will never be sold, exchanged or disclosed to third parties for their own marketing purposes. You may choose whether to receive promotional communications from us. You may browse our website without registering. We collect and store information you voluntarily disclose to us in order to give you access to enquiry forms, information sessions, downloadable resources and similar features.

What Information Do We Collect?

Personally Identifiable Information

We may collect the following personal information in the situations described below.

When you visit our website and voluntarily provide information through an enquiry or application form, a chat or phone session, a campus visit or information session registration, or as part of enrolling in a programme:

• Contact information, such as name, date of birth, gender, email address, mailing address, city, phone number and IP address;
• Parent or guardian information, such as name, relationship, contact details and, where relevant to a scholarship or financial-aid assessment, occupation and income details;
• Academic information, such as school or college attended, board or university, year of passing, marks, grades, transcripts, mark sheets, test scores, prior qualifications and, for postgraduate applicants, employment history and CV;
• Identity and eligibility documents, such as government-issued photo identification, proof of date of birth and category or eligibility certificates where applicable;
• Billing information, such as billing address and payment reference details.

Note: all payment transactions are processed through secure third-party payment gateway providers. We do not store any card information (other than the last four digits of your card) on our servers.

When you use our Learning Management System, campus systems, support systems, or respond to our surveys and feedback forms:

• Contact information, such as name, email address, mailing address, IP address, geographic location and phone number;
• Unique identifiers, such as username, roll number or student ID, and password;
• Academic activity data, such as attendance, submissions, assessment scores, course progress, session participation and LMS usage logs;
• Assessment integrity data, where an assessment is proctored — which may include webcam and screen recordings, audio, device and browser signals, and identity verification images, collected only for the duration of the assessment and used solely to verify identity and detect malpractice;
• Name and email address when you provide feedback on our services.

In connection with campus life, immersions and student welfare, we may additionally collect:

• Health and wellbeing information voluntarily disclosed by the student or the parent or guardian, such as medical conditions, allergies, disabilities, dietary requirements and emergency contact details, collected so that we can make reasonable arrangements for the student's safety and support;
• Travel and immersion information, such as passport details, visa documentation, travel itineraries, insurance details and accommodation preferences, for domestic and international immersions;
• Campus access and safety information, such as ID card records, entry and exit logs and CCTV footage from common areas, used for security purposes only;
• Photographs and video recordings of classes, events, competitions and campus activities, as described under "Image and Video Capture" below.

Health information and identity documents are treated as sensitive and are accessed only by authorised personnel on a need-to-know basis.

Users may visit our website anonymously. We collect personally identifiable information from users only where they voluntarily submit it to us.

Non-Personal Information

We capture some non-personal information in our logs. This information includes:

• Time zone

• Screen size
• Browser type

Cookie Information

Cookies are small pieces of information saved by your browser onto your computer or mobile device. Cookies are used to record different aspects of your visit and help ISFB provide you with an uninterrupted service. We also use analytics and, on our public pages, advertising cookies to understand how our website is used and to measure the effectiveness of our admissions campaigns.

Cookies do not by themselves give us your identity. You can choose to turn off all cookies through your browser settings; however, if you do so, some of the features that make your site experience efficient may not function as intended.

Children and Applicants Below the Age of 18

ISFB offers an undergraduate programme for which applicants are typically students in or completing Class 12, a significant number of whom are below the age of 18 at the time of application. Where an applicant or student is a minor, we process personal data only with the verifiable consent of a parent or legal guardian, and the parent or guardian is treated as the person exercising the rights described in this Privacy Policy on the student's behalf.

In respect of minors, we do not undertake tracking, behavioural monitoring or targeted advertising, and we do not process their personal data in any manner likely to cause a detrimental effect on their wellbeing. Communications relating to admission and academic matters are addressed to the parent or guardian alongside the student.

Once a student attains the age of 18, we will treat the student as exercising these rights directly, while continuing to communicate with the parent or guardian in relation to fees, attendance, welfare and emergencies in accordance with the enrolment terms accepted at admission.

ISFB and Imarticus Learning hold the copyright to all material on this site unless otherwise indicated. Written permission from the copyright owner must be obtained for any use of the material other than for purposes permitted by law.

Curriculum and Course Content

Curriculum and course content for all ISFB programmes is provided for the purpose of guidance and education. Our content is reviewed periodically by our academic team and academic partners and is subject to change without notice. ISFB reserves the right to modify academic content, delivery method and session schedules without prior notice.

Course content, recordings, case materials, simulations and assessments are proprietary and are licensed to enrolled students for their personal academic use only. Students may not record, reproduce, distribute or upload this material.

Image and Video Capture

Images and videos shot during classes, events, immersions and activities organised by ISFB must not be misused. This includes images and videos of ISFB staff, faculty and students. If you enrol in an ISFB programme, your picture may be featured in photographs or videos of classes, campus life, events and School communications.

We may record inbound and outbound telephone conversations for quality and training purposes. We do not share these recordings with external parties.

If you are an ISFB student or alumnus, we may request a testimonial and, with your permission, display that testimonial, photograph or video on our website and social media channels. Information you allow to be displayed publicly may be seen and used by third parties, including to send you unsolicited messages; we are not responsible for personal information you have chosen to make public.

Where the student is a minor, consent for the use of images, video and testimonials is obtained from the parent or legal guardian.

If you do not wish to be featured on our website or social media channels, or wish an existing image or testimonial to be removed from future use, please email us at isfb@imarticus.com.

Accessing and Modifying Your Personal Information

Applicants and students can update or modify their personal information and communication preferences through the applicant portal or the LMS, or by emailing the Office of Admissions at isfb@imarticus.com. Corrections to academic records, names on certificates and transcripts are processed on written request, subject to supporting documentation.

Retention Policy

We retain personal information on the following basis:

• Enquiry and application data of candidates who do not enrol is retained only as long as reasonably necessary for the admission cycle and any subsequent cycle in which the candidate may reapply, after which it is deleted or anonymised;
• Enrolled student data is retained for the duration of the programme and thereafter as reasonably necessary to fulfil the contract, provide alumni services, and respond to verification requests;
• Core academic records — enrolment, credits, results, transcripts and credentials awarded — are retained on a long-term basis, because the School must be able to verify a graduate's academic record for employers, universities and certification bodies for the whole of that person's career;
• Financial and tax records are retained for the period required by applicable accounting and legal legislation;
• Proctoring recordings are retained only for the period required to complete assessment review and to resolve any academic-integrity proceeding, and are then deleted;
• CCTV footage is retained for a short, fixed period and then overwritten, except where required for an ongoing investigation.

Information Transfer

We currently keep data in data centres located in India.

Some limited transfers outside India are unavoidable in the delivery of our programmes — for example, when a student is registered with an overseas professional body or examination provider, or when travel, accommodation and academic arrangements are made for an international immersion. Where such a transfer takes place, it is limited to the data necessary for that purpose and is made subject to contractual protections and applicable law.

Your Rights

We provide assurance for your rights in respect of your personal data, including the right to information, the right of access, the right to correction and rectification, the right to erasure, the right to restriction of processing, the right to data portability, the right to object, the right to withdraw consent, the right to nominate another individual to exercise your rights in the event of death or incapacity, the right to grievance redressal, and the right to avoid solely automated decision-making.

To exercise any of these rights, write to us at the address given under "Contact" below. We will respond within the period prescribed by applicable law. Certain rights are qualified — for example, we cannot erase a core academic record where retention is required for the integrity of our records or by law, and we cannot act on a request that would prevent us from meeting a statutory obligation. Where we decline a request in whole or in part, we will tell you why.

Where the individual is a minor, these rights are exercised by the parent or legal guardian.

Personal Information Sharing

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

Because ISFB delivers its programmes in association with academic partners, certification bodies and recruiters, some sharing is necessary in order to provide the programme you have enrolled in. We share personal information only to the extent necessary, and only with the following categories of recipients:

• Academic and immersion partners — universities, institutes and host institutions delivering a component of your programme, for registration, academic administration, assessment and the issue of their credentials;
• Examination, certification and professional bodies — for registration, examination administration, exemptions and the award of professional qualifications, subject to their own rules and privacy policies;
• Recruiters and employer partners — your candidate profile, CV and academic details, shared as part of placement services, where you have opted into those services;
• Travel, visa, insurance and accommodation providers — for domestic and international immersions;
• Service providers and processors — payment gateways, cloud hosting, LMS and proctoring platforms, communication and analytics providers, and background-verification providers, each engaged under a written agreement restricting their use of the data to the services they provide to us;
• Parents or legal guardians — in relation to fees, attendance, academic progress, welfare and emergencies;
• Imarticus Learning and its group entities — for shared admissions, IT, finance, alumni and career-services functions;
• Regulatory, statutory, accreditation and law-enforcement authorities — where required by law or in response to a valid legal request.

Where we engage a new category of processor, we enter into a data processing agreement with that provider as mandated by law. We use cloud providers such as AWS, GCP and Azure; please refer to their privacy policies for further information on their practices.

Access to student records is restricted to personnel who require it for their role. No method of transmission or storage is completely secure, and you are responsible for keeping your LMS and portal credentials confidential.

Changes to this Privacy Policy

ISFB may update this Privacy Policy at its discretion at any time. The version published on this website is the version in force. We recommend that you visit and review this page periodically. Where a change materially affects how we use your personal information, we will notify enrolled students through the LMS or their registered email address.
